Job Description:
SUMMARY
This position is responsible for the accounts receivable process
within the Accounting / Finance Department and provides back up to
other department positions as appropriate and as required. This
position reports to the Controller.
RESPONSIBILITIES
Include the following, but are not limited to:
ACCOUNTS RECEIVABLE
Retrieve BMO Lockbox and EFT deposit data daily from bank.
Process/input daily deposit and lockbox payments.
Process cross department lockbox payments.
Manage Accounts Receivable email inbox.
Reconcile and balance receivables.
Post payments (either manually or via connector files; downloaded
from secure site.) stock donations, electronic funds transfers
(EFTs).
Create, review and mail monthly corporate, payroll, sponsorship and
vine statements.
Analyze balance due reports and follow-up on "delinquent" accounts
by phone or by appropriate letters with communication to the
Campaign Division.
Maintain A/R customer database in CRM (contact person, remittance
cycles, payment patterns and other useful account information).
Prepare and maintain monthly pledge and accounts receivable report
for the Board and Finance Committee
Run month-end reports to balance CRM to A/R and Pledge Processing
receivables for each month in preparation for the Board Report.
Review and reconcile miscellaneous receivables.
Process adjustments to donor and/or company accounts as needed.
Review and prepare write-off for prior campaign years.
EXPECTED STANDARDS
Accurate posting of accounts; analysis and monitoring of payment
activities; prompt and accurate billing statements; timely response
to donors; timely and accurate management and Board reporting and
required reconciliation.
CASH DEPOSITS
Process mail with Pledge Processing Department to determine proper
workflow outcomes for posting payments.
Prepare and post daily cash deposits for all campaigns and those
requiring special handling.
Match deposit slips with receipts from banks.
Prepare Summary Journal worksheet (including AR and PP lockbox
in-office deposits).
Verify Pledge Processing Department deposit amounts via internal
reporting systems for accuracy.
Post monthly Interest, credit card and bank fees to combined
campaigns.
EXPECTED STANDARDS
All deposits are prepared and recorded on a timely and accurate
basis while maintaining appropriate safeguards, and all associated
accounting entries are handled accurately.
OTHER DUTIES
Create, verify and mail yearly tax receipts.
Prepare and maintain tracking and reconciliation spreadsheets, as
appropriate.
Provide back-up assistance in the Accounting Department as
needed.
Assist and support "live campaign" processing as time permits.
Create reports for Auditors on selected audit confirmations and
assist with the yearly audit process.
Prepare invoice for company sponsorships and others as
requested.
Other special projects as assigned.
Inventory & maintain supplies for Finance.
Provide excellent customer service to donors in relation to payment
related inquiries.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
EDUCATION & EXPERIENCE REQUIREMENTS
Associate degree in accounting or business-related field.
Two-years general accounting experience, accounts receivable
experience preferred.
Spreadsheet/word processing to the intermediate level (MS Office
Excel and Word preferred).
Experience with CRM software and donor database tools

Ability to uphold to the stress of traveling (in designated
positions).
Regular, predictable attendance is required; including additional
overtime as business demands dictate.
Ability to drive automobile to meetings, appointments, and
events.
