Coordinator supports the planning, coordination, and execution of
brand?led events that advance the mission, visibility, and
strategic priorities of the International Fellowship of Christians
and Jews. This role manages end?to?end event logistics, partners
cross?functionally to ensure brand?aligned execution and
contributes to continuous improvement of event processes and
standards. This position requires frequent domestic travel,
including back?to?back events, and the ability to operate
effectively in fast?paced, high?visibility environments. The
coordinator serves as an on?site representative of the
organization, demonstrating professionalism, warmth, and strong
interpersonal skills while stewarding relationships with partners,
vendors, and attendees. This position will report to the Brand
Marketing Manager. This position is based in our Chicago
headquarters. We are seeking an individual with a Bachelor’s degree
or equivalent experience. A minimum of 2 years of full?time
experience in event coordination, event management, or experiential
marketing is required. Experience supporting fundraising, outreach,
or brand?driven events in nonprofit or mission?driven organizations
is preferred. Essential Job Responsibilities Include: Event
Planning & Execution - Coordinate the planning and execution of
multiple brand events annually, ensuring alignment with
organizational strategy, brand standards, and event objectives. -
Collaborate with cross?functional internal teams (Marketing,
Outreach, Operations, Fulfillment) and external partners to develop
detailed event plans, timelines, and setback schedules. - Manage
all logistical components of events, including venue coordination,
on?site setup, execution, teardown, and brand activation. - Serve
as the primary point of contact for event?related communication
before, during, and after each event. - Represent the IFCJ brand
onsite by engaging attendees, supporting relationship stewardship,
and ensuring a high?quality brand experience. Inventory & Asset
Management - Order, track, store, and maintain event inventory and
branded assets throughout the year. - Coordinate shipping,
delivery, return, and reconciliation of event materials and
equipment in partnership with fulfillment and logistics vendors. -
Ensure materials are organized, stocked, and event?ready to support
consistent execution. Budget & Financial Coordination - Track
event?related expenses and support adherence to approved budgets. -
Identify cost?saving opportunities while maintaining quality,
effectiveness, and brand integrity. - Assist with vendor pricing
discussions and ensure invoices and expenses are accurately
documented. - Provide budget updates and post?event financial
summaries as requested. Monitoring Progress, Risk Management &
Reporting - Manage multiple event timelines simultaneously with
strong attention to detail and follow?through. - Develop and
maintain event checklists, planning documents, run?of?show
materials, and post?event reports. - Proactively identify risks or
challenges and recommend practical solutions. - Provide regular
status updates to stakeholders and contribute to post?event
evaluations and learnings. Standard Operating Procedures & Process
Improvement - Support the development, documentation, and
maintenance of standard operating procedures (SOPs) for event
planning and execution. - Ensure consistency, efficiency, and
continuous improvement across event operations. Technical &
Individual Skills: - Working knowledge of event planning, logistics
coordination, and project management principles. - Proficiency with
Microsoft Office; experience with project management or
inventory?tracking tools preferred. - Strong written and verbal
communication skills. - Strong attention to detail and accuracy
required. - Ability to simultaneously manage multiple tasks and
projects with specific or competing deadlines. - Proven ability to
manage multiple priorities in a fast?paced environment. - Strong
organizational, time?management, and attention?to?detail skills. -
Professional presence and ability to confidently represent the
organization in public?facing settings. - Resourceful, adaptable,
and solution?oriented approach to problem solving. - Ability to
manage high?pressure, live?event situations with composure. -
Willingness and ability to travel frequently, including extended
and back?to?back events. - Knowledge of and basic understanding of
Christian and Jewish faiths. Knowledge of The Fellowship’s programs
with the ability to gather an understanding of our programs. Come
